Panel Submissions are now closed

Thank you for your interest in running a panel at AnimeFest. Here you will find all of the information you need to submit a panel or event idea. Please read the guidelines carefully.

To clarify, the term panel applies to all activities run by attendees. The following guidelines apply to all panels and attendee run activities.

Don't worry if you don't receive a confirmation immediately. As we get closer to the convention and more submissions are received we will contact everyone who has applied.

Panelists

AnimeFest Registration

All panelists must be pre-registered for AnimeFest (or be an AnimeFest staff member) in order to submit a panel for final approval. Panels will not be approved unless all panlists have a paid membership (badge) for AnimeFest.

Reimbursement

Should your group do 4 hours of programming throughout the convention, your group will be eliglble to be reimbursed the price of your membership at the time of its purchase for UP TO 4 members of your group. For more generous donations of time to the convention we will consider reimbursing additional members, but this will need to be approved by the Events Director.

Reimbursement forms will not be available until Sunday afternoon of the AnimeFest 2012 Convention. A form is not complete or eligible for reimbursement until it has the signature of the Panels Manager or the Events Director who will verify that your 4 hours of programming has been completed.

Cancellation of your panels will cause you to forfeit your reimbursement.
Reimbursements are only available Sunday and Monday of the convention or at the clubhouse 2 weeks after the convention. Just like our volunteers, there will be no other reimbursements times for panels.

Scheduling

If your panel is accepted, you will be expected to run the panel. If for some reason you cannot run your panel, you need to notify the AnimeFest Panels team a minimum of two weeks prior to the convention. This will keep your panel from showing on the scheudule.

If you fail to show for your panel you will be put on a no-show list and may forfiet the ability to host panels at AnimeFest in the future. Exceptions will be made for emergencies, provided you notify us before your panel is scheduled to begin.

If you have responsibilities that might preclude you from running a panel during specific timeframes, notate it on your detailed panel submission form. Such obligations might include: being on AnimeFest Staff, working for a dealer or participating in a major event.

Expect to arrive 5 minutes prior to the start of your panel. Even if your panel starts late you will be expected to end on time so you do not affect the panel afterward. Expect to wrap up panel content about 10 minutes early to allow for final questions.

If you request setup time for your panel, you will be expected to show up for the setup on time. AnimeFest is not responsible for panels starting late because of setup. If your group reconfigures the room, they will be expected to help return the room to its original configuration and clean up. This will be scheduled as a tear down time for your group.

Panels

Submission Process

All panel or event submissions must be made via the apropriate forms from the AnimeFest website. No other submissions will be considered.

The submission process consisits of multiple steps.
  1. Fill out the Panel Submission Form

    Submission by prospective panelests who will need to submit an overview of their idea to the AnimeFest Panels team. In an effort to keep a balance of panels there may be limits to the number of panels on certain subjects that AnimeFest will accept. If the submission is acceptable, the requestor will be directed to a second form to provide more detailed information about the panel, the panelists, equipment, etc. Getting directed to the second form is NOT an guarantee that the panel will be approved or scheduled.
  2. After completion of the second form the AnimeFest Panels team will review the information and approve panels for scheduling. During this process the team may contact you to clarify details. This contact does not consitiute approval.
  3. Approval and scheduling. Based on information provided on your detailed panel submission form, we will approve your panel and notify you. Approved panels are scheduled on several criteria and we will do our best to avoid scheduling similar panles against each other, but we will not take requests for panel times.

Content

AnimeFest is a family friendly event. All panels scheduled between 9:00 AM and 10:00 PM must be suitable for attendees of all ages. Language and other content should be "PG" or better.

While we will have some adult content panels, none of them will be scheduled prior to 10pm. There is a box on the panel submission form to indicate adult material. We will check ID for all adult programming.

Time Restrictions

Panelists are expected to arrive 5 minutes prior to the start of your panel or setup time. You will be expected to end your panel on time (whether it starts on time or not).
